Privacy Policy

1. Who we are
HIS Pods, Inc. is a Florida nonprofit corporation and a 501(c)(3) public charity (EIN 93-2394421). Our mailing address is 7901 4th St. N., Ste 12219, St. Petersburg, FL 33702. This policy covers this website (hispods.com). Questions or requests: admin@hispods.com.
2. Information you give us
- Contact form: your name, email address, the topic you choose and your message. It is delivered to our team inbox by email.
- School applications: the school and contact details a school leader enters on the application form.
- Family learning pilot: if you take part in our curriculum pilot, the information described in section 6.
3. Information collected automatically
- Usage analytics: pages viewed, device and browser type and the referring page, measured with Microsoft Application Insights. We do not use advertising cookies, cross-site tracking, fingerprinting or session recording.
- Campaign source: if you arrive from a link with campaign tags (for example from a newsletter), a first-party cookie named
hp_attrremembers that source for up to 90 days. - Page testing: a random visitor number stored in your browser so that page tests stay consistent between visits.
- Security and abuse protection: when you send the contact form, we briefly record your IP address and email address to limit repeated submissions.
4. Donations
When you choose to give, you continue to our secure giving site, donate.hispods.com, where you enter your details and payment. Payments are processed by Stripe; we never see or store your full card or bank account number. Your gift, contact details and receipts are handled under the giving site's privacy policy. Give buttons on this website link to the giving site with a fund, and sometimes an amount, already selected; no personal information is passed.
5. How we use information
- To answer your messages, arrange school demos and process school applications.
- To understand how the site is used and to improve it.
- To keep the site secure and prevent abuse.
We do not sell or rent personal information, and we do not share it with advertisers.
6. Family learning pilot
These terms apply to families using the HIS Pods curriculum pilot pages (sign-up, placement and lessons).
What we collect. From parents: email address, optional first name, billing information (only after a payment method is added), and any communications you send us. From students: first name, current grade, and learning activity (responses to assessment questions, lessons completed, time spent). We do not collect a student's date of birth, address, phone number, or any government identifier.
What we do not do. We do not sell student or parent data. We do not share student data with advertisers. We do not use student data to train external AI models; internal use of response data to improve our own placement and mastery models is permitted, and that data never leaves our systems. We do not collect facial images or biometric data, and we do not make automated decisions about students that have legal or similarly significant effects.
Children's privacy (COPPA). The pilot is intended for use by parents and educators on behalf of children. The parent, not the child, creates the account and provides consent for the limited data described above. A parent may at any time review the data associated with their child, request its deletion, or revoke consent. Email us with the subject line "COPPA request" and we will respond within seven business days.
Student records (FERPA). For students using HIS Pods through a partner school or co-op, we operate as a service provider under FERPA. The school is the "educational agency" and retains control of the student record. We do not disclose student records to third parties without the school's authorization.
How long we keep pilot data. Active subscribers: while your subscription is active. Trial accounts that did not convert: ninety days after the trial ends, then deleted unless you opt to resume. Cancelled subscribers: one calendar year, after which it is anonymized or deleted. You may request immediate deletion at any time.
7. Service providers
We use trusted providers to run the site: Microsoft Azure (hosting, storage and analytics, in the United States), Postmark (email delivery), Stripe (payments, on the giving site) and, for the family learning pilot, Customer.io (lifecycle email). They process information only on our behalf.
8. How long we keep other information
Contact messages are kept in our team inbox for as long as needed to respond and follow up. Abuse-protection records are kept only for the short time they are needed. School applications are kept while we are working with the school.
9. Your choices and rights
You can ask to access, correct, delete or export the information we hold about you. Email admin@hispods.com with the subject line "Privacy request" and we will respond within thirty days. You can clear cookies and browser storage at any time in your browser settings.
10. Security
All traffic to this site is encrypted in transit (TLS 1.2 or later), and stored data is encrypted by Azure. Only people with a business need can access identifiable information.
11. Children
This website is meant for adults: supporters, families and school leaders. We do not knowingly collect information from children through it, except as a parent provides it in the family learning pilot (section 6).
12. Changes to this policy
We will post changes on this page and update the date at the top. If we materially change how we use information, we will also tell pilot account holders by email.
